Insurance Requirement Guide

IF WE DO NOT HAVE INSURANCE ON FILE FOR YOU FOR THE JUNE EVENT PRIOR TO MAY 22, YOU WILL RECEIVE A $125 INVOICE FOR INSURANCE PROVIDED THROUGH THE CONVENTION.
THIS INVOICE MUST BE PAID PRIOR TO THE EVENT TO SECURE YOUR BOOTH SPACE.

If you elect to purchase the SAME insurance through our provider RainProtection, it is $99.

Ohio Sales Tax Requirements

If you plan to sell products or taxable services during the event, you are required to comply with all applicable Ohio sales tax laws.

If you will be conducting sales at the event, you must register with the State of Ohio prior to the show. Registration can be completed through the Ohio Department of Taxation using the following link: https://tax.ohio.gov/business/ohio-business-taxes/sales-and-use/registration

Who needs to register?

• Businesses with a Physical Presence in Ohio Ohio law requires any person or business making retail sales of tangible personal property or taxable services to obtain an Ohio Vendor’s License.

• Out-of-State Sellers If you are based outside of Ohio but will be making retail sales at the event, you are required to register for a Seller’s Use Tax Account once you meet Ohio’s economic nexus requirements.

Your responsibilities as an exhibitor:

• Collect applicable sales tax on all taxable transactions

• Report and remit taxes to the State of Ohio

• Comply with all city, county, state, and federal tax regulations related to your sales and promotional activities

Important Notes:

• Sales tax compliance is the sole responsibility of the exhibitor

• Show management does not collect or remit sales tax on your behalf

• Failure to comply with Ohio tax laws may result in penalties or restrictions on future participation

We understand that plans can change. Our cancellation policy is designed to be transparent, consistent, and fair to both exhibitors and the event as a whole.

All cancellations must be submitted in writing to exhibitors@gama.org

Cancellation Timeline and Refunds

• More than 100 days before the event

  • You will receive a full refund of your booth space, sponsorships, and marketing purchases.

• 99 to 59 days before the event

  • 50% of your total investment will be refunded. The remaining 50% will be retained as a cancellation fee.

• 60 days or fewer before the event

  • No refunds will be issued.

What This Covers

This policy applies to all exhibitor-related purchases, including:

• Booth space

• Sponsorship packages

• Marketing and promotional assets

Why This Policy Exists

As the event approaches, resources are committed across space planning, marketing, staffing, and production. This structure allows us to balance flexibility for exhibitors with the realities of delivering a large-scale event.

Important Notes

• Cancellation requests are only considered valid once received in writing

• Failure to attend the event does not qualify as a cancellation

• Policy timelines are based on the official event start date

Policy Enforcement

Exhibitors who are removed from the event due to violations of event policies, including the Code of Conduct or Exhibitor Guidelines, may forfeit all payments regardless of cancellation timing.
